When and where is the conference?

It's three days in person in Rexburg, Idaho — November 16–18, 2026 (Monday through Wednesday). The full agenda is on the Schedule page.

How do I get there?

Most of us are carpooling up from Utah, so coordinate with the group to share a ride. One attendee may be flying. See Plan Your Trip for the details.

Where will I stay?

In a nearby hotel. You can share a room or have your own — if you share, just one person books it. You'll book it in Deem after your Spend Authorization is approved, where the current options and rates show up. BYU-Idaho's recommended hotels are the SpringHill Suites, Hampton Inn, and AmericInn. What do I need to do before I book travel or a hotel?

Create a Spend Authorization in Workday and wait for it to be approved. Only then should you book — in Deem, or by calling the Travel Specialist at (208) 496-2340 for help. Booking before approval can jeopardize your reimbursement. The full walkthrough is on Plan Your Trip.

How do I get reimbursed?

After the trip, create an Expense Report in Workday from your approved Spend Authorization, attach your receipts, and submit. Your reimbursement comes back to you in your paycheck. Step-by-step instructions are on Plan Your Trip — and keep all your receipts. Snap a photo of each one, or better yet photograph them in the Workday app so they're linked to your expenses and ready when you reconcile.

Is there anything to do before the conference?

Yes — there'll be a short assignment to complete ahead of time, posted on Prepare & Training. It's still being finalized, and you'll have plenty of lead time.

What will we cover in the training?

The sessions focus on the real work of leading a grading team: supporting international graders, evaluation, scheduling, and burnout. More on Prepare & Training.
